Delegate Terms & Conditions
- Organiser and Event Details
- Organiser: EEPC India, a body set up by the Government of India, having its registered office at 1/1, Wood Street, Vanijya Bhawan, ITFC Building, Kolkata – 700016 and offices at New Delhi.
- Event: Bharat Electricity Summit 2026, to be held at Yashobhoomi, New Delhi, India, on the dates and timings as notified by EEPC India, including any physical, virtual or hybrid components.
- Definitions
For the purpose of these Terms & Conditions (“Delegate T&C”):
- Client means the company, organisation, or entity registering one or more Delegates.
- Delegate means the individual authorised by the Client to attend the Event.
- Event Rules means all rules, manuals, advisories, safety instructions, venue regulations, codes of conduct, and operational guidelines issued by EEPC India or the venue authorities in connection with the Event.
- Applicable Law means laws in force in India, including but not limited to the Indian Contract Act, 1872; Information Technology Act, 2000; Digital Personal Data Protection Act, 2023; CGST/IGST Acts; Income-tax Act, 1961; Arbitration and Conciliation Act, 1996.
- Nature of Event – Business-to-Business Disclaimer
- The Event is not intended for individual consumers, minors, or members of the general public attending in a personal capacity.
- By registering, the Client and the Delegate represent that the Delegate is attending in a professional or official capacity on behalf of a business or organisation.
- Applicability and Acceptance of Terms
- These Delegate T&C apply to all Delegates attending the Event.
- Registration for, access to, or attendance at the Event shall constitute unconditional acceptance of these Delegate T&C and the Event Rules.
- These Delegate T&C shall be read in conjunction with the Exhibitor Terms & Conditions, Event Manuals, and Event Rules, to the extent applicable to Delegates.
- In case of any inconsistency, these Delegate T&C shall prevail unless expressly stated otherwise by EEPC India in writing.
- Delegate Registration and Substitution
- Delegates must be duly registered through the official registration process prescribed by EEPC India.
- The Client shall ensure that all information provided for Delegate registration is true, accurate, and complete.
- Delegate substitution is permitted up to 48 (forty eight) hours prior to the commencement of the Event, subject to written intimation to EEPC India and issuance of revised credentials.
- EEPC India reserves the right to refuse entry to any individual whose registration is incomplete, inaccurate, or not approved.
- Entry, Badges and Access Control
- Official Delegate badges are non-transferable and must be worn at all times within the Event premises.
- Misuse, sharing, or tampering of badges shall result in immediate removal from the Event without refund.
- EEPC India reserves the right to deny entry or revoke access for security, safety, or regulatory reasons.
- Code of Conduct and Compliance
- Delegates shall conduct themselves in a professional, lawful, and respectful manner.
- Delegates shall comply with:
- all Event Rules;
- venue regulations;
- safety, fire, health, and security instructions;
- directions issued by EEPC India, venue management, or security personnel.
- EEPC India may remove any Delegate whose conduct is disruptive, unsafe, unlawful, or prejudicial to the Event, without any liability or obligation to refund.
- Photography, Videography and Media
- EEPC India and its authorised agencies may photograph, film, or record the Event.
- By attending the Event, Delegates grant EEPC India the right to use such images or recordings for promotional, publicity, archival, and official purposes without compensation.
- Delegates who are media-sensitive or do not wish to be photographed or recorded for promotional use may notify EEPC India in writing in advance at events@eepcindia.com , and EEPC India shall make reasonable efforts to accommodate such request.
- Intellectual Property
- All Event branding, logos, materials, presentations, and content provided by EEPC India are its intellectual property.
- Delegates shall not reproduce, distribute, or commercially exploit Event materials without prior written consent.
- Speaker or presenter content shall remain the property of the respective speaker, subject to a non-exclusive licence granted to EEPC India for Event-related use, in accordance with Indian copyright law.
- Data Protection and Privacy
- Personal data of Delegates shall be collected and processed in accordance with the Information Technology Act, 2000, the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011, and the Digital Personal Data Protection Act, 2023.
- Delegate personal data shall be used solely for legitimate purposes including Event administration, access control, security, communication, regulatory compliance, and post-event reporting.
- Delegate data may be retained for such period as is necessary to fulfil the purposes stated above or as required under Applicable Law.
- Delegates shall have rights as Data Principals under the Digital Personal Data Protection Act, 2023, including the right to access, correction, grievance redressal, and withdrawal of consent, subject to lawful exceptions.
- EEPC India’s detailed Privacy Policy, including details of data processing, retention, grievance redressal mechanism, and Data Protection Officer, shall be available on the official EEPC India / Event website.
- Fees, Taxes and Invoicing
- Delegate fees, where applicable, shall be payable strictly in accordance with the registration category and timelines prescribed by EEPC India.
- All fees are exclusive of applicable taxes.
- Goods and Services Tax (GST) shall be levied in accordance with Section 12(7) of the IGST Act, 2017 for events held in India.
- Invoices shall be issued in compliance with Indian GST law. Treatment of international Delegates, if any, shall be as per applicable tax regulations.
- Any Tax Deduction at Source (TDS), if applicable under the Income-tax Act, 1961, shall be deducted and appropriate certificates furnished.
- Cancellation and Refunds
- No refund shall be granted for non-attendance or partial attendance.
- Event Modification, Postponement or Cancellation
- EEPC India reserves the right to modify the Event programme, speakers, format, dates, venue or timings.
- In case of cancellation of the Event by EEPC India, refund or credit note shall be provided as per applicable policy.
- EEPC India shall not be liable for travel, accommodation or incidental costs incurred by Delegates.
- Force Majeure
- EEPC India shall not be liable for failure or delay caused by events beyond reasonable control, including acts of God, pandemics, government orders, lockdowns, or security restrictions.
- Relief shall be governed by principles under Section 56 of the Indian Contract Act, 1872.
- Insurance and Personal Responsibility
- Delegates are responsible for maintaining adequate personal insurance coverage, including medical and travel insurance, for the duration of the Event.
- EEPC India shall maintain such event-level insurance as may be required under applicable Indian law, including the Public Liability Insurance Act, 1991, where applicable.
- EEPC India shall not be responsible for loss, theft, injury, illness, or damage to personal belongings of Delegates.
- Limitation of Liability
- EEPC India’s aggregate liability, if any, shall be limited to the delegate registration fee paid.
- Nothing herein limits liability for death, personal injury, or statutory obligations under Indian law.
- Indemnity
- The Client and Delegate shall indemnify EEPC India against losses arising from negligence, wilful misconduct, or breach of these Delegate T&C.
- Sanctions and Trade Compliance
- Delegates shall comply with all applicable Indian trade control, foreign exchange, and sanctions laws, including the Foreign Exchange Management Act, 1999, DGFT notifications, and restrictions issued by the Government of India.
- EEPC India reserves the right to deny registration or access where participation would contravene Applicable Law or governmental directions.
- Governing Law and Dispute Resolution
- These Delegate T&C shall be governed by and construed in accordance with the laws of India.
- Any dispute shall be resolved by arbitration under the Arbitration and Conciliation Act, 1996 and the amendments made thereto.
- The seat and venue of arbitration shall be Kolkata, and the language shall be English.
- Courts at Kolkata shall have supervisory jurisdiction.
- General
- These Delegate T&C constitute the entire agreement between EEPC India and the Delegate in relation to attendance at the Event.
- If any provision is held invalid or unenforceable, the remaining provisions shall continue in full force and effect.
- EEPC India reserves the right to amend these Delegate T&C or Event Rules for operational, safety, regulatory, or legal reasons. Any such amendments shall become effective upon publication on the official Event or EEPC India website.
- All notices or communications to EEPC India under these Delegate T&C shall be addressed to events@eepcindia.com or to the official address notified on the Event website.
